| SUBJECT: | Description of Data Format for the Department of Pesticide Regulation's Surface Water Database |
For the Surface Water Monitoring Database, DPR accepts data submissions in any form that fulfills the minimum requirements shown below, including hard copies of published reports, print-outs of tabular summaries with supporting documentation, and electronic submissions on diskette or by electronic mail.
Note: The following guidelines are for inclusion in DPR's surface water monitoring database only. Any monitoring that is conducted for regulatory purposes should be completed in accordance with the requirements issued by the primary regulatory authority. Some items that are listed here as 'Not required for inclusion in the database' may be required by other agencies for their regulatory purposes. Contact the primary regulatory agency for further information.
MINIMUM DATA -Required for inclusion in the database
All data submissions containing the minimum information below will be entered into the database.
Name of the sampling agency or organization
Date that each sample was collected
Date of each sample analysis
County where samples were taken
Detailed sampling location information (including latitude
and longitude or township/range/section if available), detailed map or
description of each sampling site (i.e., address, cross roads, etc.)
Name or description of water body sampled
Name of the active ingredient analyzed for; concentration
detected (with unit of measurement), and limit of quantitation
Description of analytical QA/QC plan, or statement that no
formal plan exists
Any submitted monitoring results which do not include the minimum information are held in abeyance while DPR staff work with the study leader/project manager to determine if complete information can be obtained. If no further information is available, the records are classified as incomplete and stored in archives.
ADDITIONAL DATA - Not required for inclusion in the database
The following information, while not required, should be submitted if available:
Chemical Analysis Data
QA/QC documentation (see definition)
time of day each sample was collected
method of collection (e.g., grab sample, time integrated sample, equal width increment)
type of sample (e.g., whole water, filtered, split, field blank)
date of sample extraction
reporting limit or method detection limit (MDL), including units of measurement
method of analysis for GC/LC/MS or manufacturer's name and type of ELISA kit
analytical laboratory name
type of sampling equipment used
all associated water quality information (e.g., pH,dissolved oxygen)
Toxicity Testing Data
QA/QC documentation (see definition)
analytical laboratory name
per cent mortality in sample
per cent mortality in control
name of species tested
number of offspring in sample, if applicable
number of offspring in control, if applicable
date test started
date test ended
data of water change
all associated water quality information (e.g., pH, dissolved oxygen)
Methods for chemical analysis of samples and ratio of chemical analyses to toxicity tests should be reported.
If Toxicity Identification Evaluations are used to identify toxicants, the phases or modified phases used should be reported.
